Matie Bike
A Matie Bicycle is Stellenbosch University’s signature campus bike, designed to provide students and staff with an easy, sustainable way to move around. With their recognisable design and eco-friendly purpose, these bicycles form part of the University’s commitment to reducing congestion, promoting greener transport, and encouraging a healthier lifestyle within the campus community.

Costs for renting the bicycle
The total cost for renting a Matie Bike is R3 000 per year. This includes a refundable deposit of R1 500 less damages where applicable. Refunds into international accounts will carry additional bank costs. Payment against the student account is currently not possible.
- The bicycle(s), together with a lock and keys and any other equipment rented, is the property of SU.
- The person who rents the bicycle is liable for any expenses related to the maintenance of the bicycles, e.g. tube repairs.
- Should a bicycle be left in an unguarded spot for longer than 24 hours and/or if it seems that the hirer is not going to claim the bicycle, or if the bicycle is left somewhere unlocked, SU may remove the bicycle and keep it in a safe place. A fine of R200 will then be payable by the hirer in order to regain access to the bicycle.
- A deposit is required before the bicycle(s) and equipment can be rented. The costs of repairs to the bicycle(s), as determined by the cycling shop which checked the bicycle (see return procedures below), will be deducted from the deposit. Additional bank charges will be levied for refunds into international accounts.
- If the bicycle is returned AFTER the end of the rental period or return date indicated on the contract, a fine of R200 will be imposed.
- If the bicycle(s) and equipment are not returned for whichever reason, the refundable deposit will be forfeited. If you do not return the bicycle(s) and equipment within the time frame indicated in the contract, SU will accept that the bicycle(s) and equipment are LOST OR STOLEN and will take all the necessary steps to recover the loss.

Report the theft to the nearest police office within 24 hours as a case number is required. Inform Campus Security as well as the Cycling Office of the theft and confirm the case number.

Please note: Your deposit will not be refunded if your bicycle is stolen.
1.Ensure that the bike and accessories are complete (refer to the check list on the contract).
2. Take the bike to Flandria Bicycle Shop for an evaluation (not any of the other service providers on the list for repairs).
- Flandria will assess the bicycle in the company of the lessee and complete an evaluation form. This form indicates the nature of the damage, if any, as well as the applicable costs.
- The lessee signs that the information is correct.
- NB: If the lessee is of the opinion that the evaluation is not reasonable, the lessee can immediately request the Bicycle Office to get an independent evaluation. This recommendation will be final. If the complaint is not logged immediately, Flandria’ s recommendation will be accepted as final.
3. Return the bicycle and the evaluation form to the Matie Bike Office at Transport Services.
4. The Bicycle Office evaluates that all the accessories that was rented out with the bicycle (according to the control list on the application form) are returned. If any item is not returned, the cost thereof will be deducted from the refundable deposit.
5. If the bike(s) or equipment is damaged or destroyed, the repair costs will be deducted from the refundable deposit, or the deposit may be forfeited entirely. You will also be liable for the repairs or value of the bike, depending on the extent to which it exceeds the value of the deposit. It is entirely at SU’s discretion to decide whether the bike will be repaired or written off.
6. Return date
- Please note: No cash or cheque refunds will be done.
- Each bicycle contract indicates the final date for returning the bicycle to the Matie Bike Office. Returning the bicycle to the Matie Bike Office at the Vehicle Fleet after this date will result in a fine of R200.

- 1st Semester (January – June): Last weekday in June is the last day on which the bicycle can be returned.
- 2nd Semester (July – December): Last weekday of the first week of December is the last day on which the bicycle can be returned.
- Year contract (January – December): Last weekday of the first week of December is the last day on which the bicycle can be returned.
- The Matie bike office closes on the last weekday of the second week of December and reopens the start of the third week of January.
7. Please confirm your cell / mobile phone number and contact details in case any follow-up actions are required.
Rental Procedures
Payment options
R3 000 card payment (including refundable deposit of R1 500) at the cashier in Administration Building A. Specify receipt type 1200 and cost centre B237. Please keep both slips received as proof of payment when collecting your bike.
NB! No EFT, contactless payments (cell phone or tap) or credit cards are accepted. Ensure that you insert your debit card in the card machine at the cashiers in order to complete payment.
Once payment has been made, email the necessary documents listed below to fiets_bike@sun.ac.za to arrange an appointment for the collection of the bike. Collection STRICTLY by appointment.

• Certified banking details for refund purposes

• Identity document
• Cell / mobile phone number (SA cell phone number for foreign students)
• Passport (international students)
For international students who are not able to open a South African bank account – please provide us with your certified international bank details (confirmation letter from your bank or bank statement). The waiting period for refunds is between 2-3 weeks for local refunds and 4-6 weeks for international refunds. International refunds will be levied with the bank costs against their deposit.
Once the contract is finalised you will receive your bicycle.
Departments / divisions: Submit an interdepartmental requisition for R3 000 per bicycle to the Transport Services, OE 5925. Department (Campus user) must request access to program FFB618P and select F4 to create the request.
Bicycle stands and sheds
While bicycle stands will still be available on campus, it is envisaged to erect various safe bicycle sheds at central points on campus. There are currently bicycle sheds available at the following buildings:
- The Arts and Social Science building
- The Polymer Science building
- The Theology building
- The General Engineering building
For access to bicycle sheds for private bikes, please email the necessary information listed below to fiets_bike@sun.ac.za. Your staff card or student card will then be activated to give you access to the bicycle sheds. Matie Bikes are automatically activated.
